Bookkeeping Packages

PVA bookkeeping services are provided using QuickBooks Online Simple Start, Essentials or Plus, which means your data is available to you 24/7 on Mac, PC, smartphone, and tablet. Providing accurate, accessible information online helps you stay in touch with every detail of your financials, while freeing up the time it would take to manage the books on your own.

I am a certified QBO ProAdvisor and stay up-to-date on the latest bookkeeping trends. I am also proficient in Quickbooks Desktop, Freshbooks and Wave Accounting.

 

I am also available to consult with you on goal setting and company targets. Company scorecard services are available to help you see your successes and financial opportunities at a glance. Company Review and Clean up (Quickbooks Online subscribers)

 

A full review of your current QBO company file is required to determine the amount of updating and clean up needed prior to beginning monthly services. A report is provided along with recommendations for bringing your file up to date. The cost is $175 payable prior to beginning the review. This fee may be applied as a credit to any clean up that is needed, or to your first month's service charge. If the books are already up to date, we can begin your service plan immediately.

 

If more than 4 hours clean-up is needed, a customized quote will be provided for the work needed to bring your file up to date. A 75% deposit will be required up front, with the balance due and payable upon completion of the work. Clean up may include:

  • Condensing the file

  • Data Entry

  • Journal Entries or Adjustments

  • Reconciling Bank Accounts

  • Cleaning up reconciliation discrepancies

  • Making Inventory Adjustments

  • Cleaning up item lists

  • Cleaning up chart of accounts

  • Cleaning up the Customer List

  • Cleaning up the Vendor/Other names List

  • Setting up budgets

  • Any training or answering, “how do I…” questions

  • Setting up multi-currency

  • Setting up items/groups

  • Customizing Reports

  • Setting up Bank Feeds, downloading transactions beyond 90 days, and/or excluding extra downloaded transactions

 

New Quickbooks Online Setup or Conversion from QB Desktop to QB Online (QBO)

 

$300 (one-time charge); New Quickbooks Online subscriptions (Simple Start, Essentials and Plus) are included in my monthly services if setup through my firm.

  • Research and recommend appropriate QBO subscription level: Simple Start, Essentials or Plus

  • Create new QBO Company File

  • Create a customized chart of accounts

  • Journal Entries to update balance sheet post conversion

  • Setup custom forms, including company logo

  • Setup bank and credit card feeds (up to 3 accounts)

  • Download current transactions to QBO

    • Manual entry of transactions if bank download is unavailable: $50/hour additional

  • Basic navigation training and email support for accessing your QBO file 24/7.

  • Overview on using QuickBooks Online (up to 1 hour)

  • For Conversion: Review QuickBooks Desktop File using a 50-point checklist

    • Provide a list of items/features lost in the process of conversion

  • Customized price quote for monthly bookkeeping services

 

Monthly Bookkeeping Services

Pricing is partially based on volume of transactions per month. Services are paid in advance by ACH. Bookkeeping Package Fees may be increased mid-year based on volume of transactions per month.

Bookkeeping Basic Service:

$149/month or as quoted. Up to 150 transactions/month as measured by QB audit log.

Includes QBO Simple Start or Essentials Subscription if billed through my firm.

On a monthly basis, services may include:

  • Importing & categorizing transactions via bank feeds

  • Monthly reconciliation of 1 bank and 1 credit card account (+$50/each additional account)

  • Download and offsite storage/backup of bank statements and financial documents

  • Monthly Income Statement (P&L) and Balance Sheet

  • Annual Tax Report and Business Review to submit to Accountant at tax time 

 

Bookkeeping Full-Service: 

$299/month or as quoted. Up to 350 transactions/month as measured by QBO Audit Log

Fee includes QBO Plus subscription if paid through my firm.

Services may include Basic Plan plus:

  • Reconciling up to 2 additional accounts (Loan, bank or credit card)

  • Assistance with Job Costing and Estimates

  • Track Billable Expenditures for reimbursement

  • Accounts Receivable: creating customized invoices

  • Accounts Payable: Entering and paying bills electronically

  • Managing cloud storage of receipts submitted by client

  • *Attaching receipts to QBO transactions is an additional charge

Bookkeeping Premium Service: 

$389/month or as quoted – up to 500 transactions/month as measured by QBO audit log

Fee includes QBO Plus subscription if paid through my firm.

Services may includes Basic and Full-Service Plans, plus:

  • Creating Purchase Orders

  • Inventory Tracking (FIFO)

  • Sales Tax Reports

  • Class and location tracking

  • Up to 5 additional Custom Reports: A/R aging detail, sales by customer, etc.

  • Setting up budget and monthly budget variance report and review

  • Goal setting (4 key items) and Scorecard (shows progress toward key goals)

  • Collaboration on improving business processes, implementing technology, tech support, training and business consulting: up to 2 hours/month

Payroll-8 Service: Gusto or Intuit Full Service: 

$239/month or per quote. Includes Full Service Payroll subscription

Additional batches of up to 8 employees are $50/month each

Service includes:

  • Up to 8 employees; bi-weekly, monthly, or semi-monthly pay periods.

  • Set up payroll account, time off policies, benefits (client provides workers comp and medical insurance information, business license, EIN, or PVA assists for additional charge)

  • Onboard employees according to local and federal labor laws (W-4’s, I-9’s, offer of employment, requirements of job, etc.)

  • Entry of worked hours submitted by client

    • Timekeeping for employees is available at additional cost, as well as integration with 3rd party software: Harvest, T-sheets, Paycor, OBO, etc.

  • Implementation of expense reimbursement reporting process for employees (e.g.,“Expensify”, Google Sheets, Excel)

  • Review of tax information and accuracy of payments

  • Manual or Print checks, direct deposit check stubs, or email e-Checks

  • Integrate payroll journal entries into QBO (bookkeeping clients only)

  • Payroll Tax Reports each pay period

Prepare and File 1099-misc form:

$20 per form

  • Via Intuit online (non-payroll QBO clients only)

  • For subcontractors, independent contractors, rent, professional fees (not paid through 3rd party payers)

  • W-9 forms obtained from contractors

 

TurboTax Income Tax Returns: 

$387 per simple* return based solely on information provided by client with no unusual or complex tax situations. Turbo Tax software and filing fees included as described below.

Service includes:

  • *Preparation of Form 1040, 1040-Schedule C, and California State Tax Return in TurboTax

  • Online filing (US Federal and 1 California State) via TurboTax with tax authorities

  • TurboTax software fees included if billed through my firm

  • Online filing fees are charged separately. Printable copy provided if you’ll be filing by mail.
